Program Terms & Conditions
I. Introduction
Welcome to Showtime Flag ("Showtime," "we," "us," or "our"), where our mission is to provide engaging, safe, and competitive sports experiences for our participants. We value the role that sports play in promoting physical health, team spirit, and personal growth.
As you entrust us with this opportunity to be a part of your child's athletic journey, we pledge our unwavering commitment to upholding the highest standards of our programs. We encourage you to familiarize yourself with the following terms and be assured that, at Showtime, we are more than a sports program — we are a community dedicated to nurturing the next generation of athletes.
II. Eligibility Criteria
Parental Consent
For activities in which children under the age of 18 participate, we require the consent and involvement of a parent or legal guardian. All registration data and other requested personal data for such activities must be provided by the parent or legal guardian.
Completed Waivers
Participants are required to have the necessary waivers or release forms completed before participating. No athlete may participate without all completed waivers.
Health and Fitness
All participants are expected to be in good health and physical condition to engage safely in our activities. By registering, you acknowledge you (or your minor child) are fit to participate and understand the physical demands involved.
Uniform Requirement
Participants must wear the designated uniform—such as jerseys, shorts, and any required gear—during all practices and games. No participant may engage in activities without the proper uniform.
Skill Level
Our programs welcome players of varying skill levels, from beginners to more experienced athletes. We recommend participants have some prior playing experience to ensure a safer, more competitive environment.
Good Standing Requirement
All participants must be in good standing—this means no active suspensions or past expulsions from our programs, and all dues or fees must be current. Failure to meet these criteria may result in disqualification from current enrollment or affect future eligibility.
III. Payment Terms

Showtime-Direct Programs | Payment is due in full at checkout unless a deposit link is provided, in which case you authorize us to automatically charge the remaining balance on the published due date or on the program's first day, whichever comes first. All payments—including deposits—are non-refundable. If a charge is declined, you will have 48 hours to update your payment method or your registration may be voided; a $25 administrative fee applies to returned payments or charge-backs. Card surcharges are capped at our actual processing cost, and an ACH alternative is available. Sales tax is applied at the rate in effect on the date of the transaction. All transactions are processed by PCI-DSS compliant vendors, and we never store full card numbers. Participation may be suspended until any overdue balances are paid in full. |
Partner-Administered Programs | Payments must be made directly through the partner's registration system and staff, and all deposit or installment deadlines—as well as the partner's refund policy—apply. Accepted payment methods (card, check, ACH, cash) and any related fees are determined by the partner. Showtime staff do not accept on-site payments—cash, checks, Venmo, Zelle, or similar. Participation may be withheld until any overdue balances are satisfied under the partner's terms. |

IV. Refund & Credit Policy

Payments to Partner | Governed by partner's policy; direct refund requests to partner. Showtime may honor medical credit via partner at its sole discretion. |
Medical Credit | A prorated credit—for the same participant—is available when we receive written notice together with a physician's note within one week of the visit. Credits are non-transferable, valid for one year, and issued at Showtime's sole discretion. |
Refund Processing | Cash refunds to original method within 5-10 business days; processing fee = min(4%, actual processor fee). Credits incur no fee. |
V. Communications
We use several channels to deliver schedule updates, weather alerts, and occasional promotional offers. Providing contact details is optional and program enrollment is never conditioned on consenting to marketing messages.

VI. Weather Policy
In the case of lightning or other severe weather conditions, all competition will be halted and you will be directed to an appropriate shelter.
Lightning Protocol
When the facility hosting a Showtime activity operates its own verified lightning-detection system, that system's rules govern: play is suspended the instant the venue issues an alert (siren, strobe, text, or staff directive), and activity may resume only after the venue gives its official all-clear and any required wait time (typically 30 minutes) has fully elapsed.
If no on-site detection system exists, play stops immediately when thunder is heard or lightning is seen within a 6-mile (≈ 10 km) radius (per National Weather Service radar or on-field observation). A fresh 30-minute countdown begins with each new strike; activity may resume only after (1) 30 consecutive minutes have elapsed with no strikes inside 6 miles, (2) the field is safe and playable, and (3) sufficient light remains to finish safely.
Rain Protocol
The Site Director (or host venue, if its rules supersede) uses radar, field inspection, and surface checks to decide whether an activity continues, pauses, or is cancelled/rescheduled.

Moderate | Steady rainfall creating slick spots or small puddles: play pauses for up to 15 minutes; if conditions improve, play resumes; otherwise the session is called for the day. |
Heavy | Downpour, standing water, or mud that compromises footing: activity is cancelled immediately. |
Heat Protocol
The Site Director checks the on-field heat index before and during each session.

93 °F – 100 °F (34 – 38 °C) | Modified activities—shorter halves or drills, mandatory shade and water breaks every 10–15 minutes; no conditioning sprints. |
Above 100 °F (38 °C) | Activities pause immediately and will be cancelled if the index reaches 103 °F or remains over 100 °F for more than 15 minutes. |
VII. Program Changes
We may occasionally need to adjust program details due to factors like venue availability, staffing, or scheduling. We reserve the right to modify schedules, locations, or staffing as needed, keeping changes to a minimum to reduce disruptions.
We will inform participants of any changes using the communication methods listed in this policy (SMS, WhatsApp, email, phone). Participants should regularly check for updates and ensure their contact information is correct to avoid missing important communications.
VIII. Reservation of Rights
We reserve the right to refuse or terminate participation of any individual or entity—including spectators—at any time and for any reason permitted by law. We expect respectful behavior from all participants, parents, and spectators; failure to uphold these standards may result in denied or revoked participation.
If participation is refused or revoked, we will notify the affected party; while we are not obliged to disclose detailed reasons, we may do so at our discretion.
Individuals may submit a written appeal within seven (7) days stating specific reasons for reconsideration, and our decision following the appeals process is final. We provide an inclusive environment, and any decision to deny or revoke participation complies with applicable anti-discrimination laws.
